Glossop Heritage Trust – Data Protection Policy and Privacy Statement
Glossop Heritage Trust respects the privacy of individuals and will comply fully with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Data (Use and Access) Act 2025 (and any subsequent legislation) in respect of any Personal Data received.
Glossop Heritage Trust, as an exempt organisation, is not registered with the Information Commissioner’s Office.
Glossop Heritage Trust undertakes not to intentionally disclose Personal Data to third parties without the relevant individual’s consent unless obliged to do so by any law, regulation or other legally binding authority including but not limited to governmental request.
Information Held
The functions for which Glossop Heritage Trust obtains, stores and processes Personal Data are listed below.
Contact details may include geographic address(es), e-mail address(es), telephone number(s). They will be as supplied by individuals in order that the Trust may send the appropriate replies/correspondence to them. Such correspondence will normally be restricted to the specific communications listed below but may include correspondence needed to clarify individuals’ requirements of the Trust.
If you become a member of Glossop Heritage Trust we will record your name, contact details (in order to send information about our activities), subscriptions due/paid/not paid, any position held (e.g. director) and meeting attendance.
If you volunteer to assist with the work of Glossop Heritage Trust we will record your name, contact details (in order to send information about our activities), responses you make to the questionnaire you are asked to complete, the work you undertake (for the benefit of both the Trust and yourself), and any references obtained (if applicable).
If you act as a referee for a volunteer we will record your name, contact details (in order to acknowledge/clarify the reference(s)) and reference(s) supplied.
If you make an enquiry we will record your name, contact details (in order to send the response), subject of enquiry and response(s) supplied.
If you make a donation of one or more items we will record your name, contact details (in order to acknowledge receipt of/thank you for your donation), details of item(s) and return date(s) if on loan.
If you make a monetary donation to the Trust we will record your name, contact details (in order to acknowledge receipt of/thank you for your donation) and date & amount of the donation.
If you make a mail order purchase of one or more items we will record your name, contact details (for delivery), date of order, item(s) purchased and payment details.
All payments for purchases and donations made on-line are processed using PayPal and we never see your credit card or bank account details. If you pay for mail-order items by cheque then the details printed on the cheque are visible to us but we never record any of those details.
Lawful Basis for Processing
All Personal Data processed by Glossop Heritage Trust are necessary for performance of the function(s) described under Information Held above.
Individuals’ Rights
As an individual you have the the right to be informed as to what (if any) Personal Data Glossop Heritage Trust hold about you and to obtain a copy of that data (see Subject Access Request below). If the data are required for Data Portability purposes they will be supplied in the form of a CSV file.
If any of the data are inaccurate you have the right to require correction of the error(s).
You have the right to have your personal data erased, to object to the ways and/or to restrict the way(s) in which Glossop Heritage Trust may process your data.

Overall Privacy Impact Assessment
Collection of Personal Data by Glossop Heritage Trust will involve the collection of new information about individuals only where those individuals have not requested similar interactions with the Trust previously.
Individuals will only be compelled to provide information about themselves to the extent that it is necessary to provide the service which the individual is requesting.
The information will not be disclosed to organisations or people who have not previously had routine access to the information.
Information about individuals will only be used for the purpose(s) and way(s) specified in this Policy.
The processing undertaken by Glossop Heritage Trust will not result in the Trust making decisions or taking action against individuals in ways that can have a significant impact on them.
None of the information about individuals which the Trust processes is of a kind particularly likely to raise privacy concerns or expectations.
The processing undertaken by Glossop Heritage Trust will not result in the Trust contacting individuals in ways that they may find intrusive.
The Glossop Heritage Trust web site and hard copy application forms have been designed to promote routing of contacts made by individuals to the Director of the Trust with the responsibility for the function(s) concerned. Where an individual uses a different contact route the Director who receives the contact will pass it on to the Director with that responsibility. The Personal Data supplied will only be used for the specific purpose(s) identified by the individual concerned. Subject to any retention periods required by law, the Personal Data will be deleted once the process has been fully completed.
